How can you restructure an existing quality management system and prepare it for certification in a short period of time?
Kipco-Damaco, an international meat processing company, shares their journey and the role AuditQ played in it.
What prompted you to start preparing for certification, and why was the timing so important?
“The decision to start preparing for certification was driven by management’s ambition to demonstrate the organization’s strong commitment to a renewed and strengthened quality policy. At the same time, we wanted to continue investing in the development of the company to better meet customer expectations and evolving market requirements. Certification is part of a broader strategy to strengthen our competitive position, increase customer confidence, and support the organization’s sustainable growth.”
Where did your quality management system stand when you started, and what were the main challenges?
“The foundation of our quality management system was originally developed with the support of external consultants. However, the quality policy was not managed consistently or systematically afterwards. As a result, the quality management system could not be maintained and further developed in a sustainable and consistent way. When we restarted the process, we therefore wanted to thoroughly review and optimize the existing quality management system. Our goal was to establish a more efficient approach to quality management that was clearly structured, easy to manage, and accessible and practical for all employees.”
What saved you the most time during the process?
“The biggest time saver was having AuditQ systematically review the entire quality manual and assess it against the requirements of the ACS and IFS standards. This allowed us to quickly identify any gaps and areas for improvement without having to manually review every document.”
What would you have had to do differently without AuditQ?
“Without AuditQ, we would have had to spend significantly more time manually analyzing and comparing documents. The time we saved could instead be spent on higher-value activities, such as raising awareness among employees and conducting walkthroughs on the production floor to further strengthen the quality culture.”
How did the team respond to this way of working? Has it changed the way you approach quality today?
“Because we were able to thoroughly improve the existing quality management system in a relatively short period of time, it created positive momentum throughout the organization. The more efficient system made quality much more visible on the production floor and increased employee engagement. It also improved communication between production and the quality team.”
What would you say to a quality manager who doubts whether such a process can be completed in less than six months?
“Completing the process in less than six months obviously requires commitment from the organization, but with the right level of involvement and an efficient tool like AuditQ, it is a realistic goal. The time saved by the platform makes it possible not only to meet the standard requirements faster, but also to build a quality culture that is sustainably embedded throughout the organization.”
